What’s Included

What a Resident Inspect Periodic Inspection Includes

Every periodic inspection covers the full interior and exterior of the property — guided in real time by a trained Resident Inspect inspector over live HD video. Our inspector directs every room, every system, every area of concern. Nothing is left to the tenant to decide what to show.

  • All interior rooms — walls, ceilings, floors, windows, doors
  • Kitchen appliances, cabinets, plumbing under sink
  • All bathrooms — fixtures, caulking, exhaust fans, signs of mold
  • HVAC filter condition and visible mechanical systems
  • Smoke and CO detector testing — confirmed and logged
  • Lease compliance — unauthorized occupants, pets, modifications
  • Visible maintenance issues with inspector notes
  • Exterior — where accessible via tenant walkthrough or camera

Every item is photographed in real time at high resolution. The inspector controls what gets documented — not the tenant.

The Process

How It Works — The Resident Inspect Process

Four steps — from inspection request to delivered report. We handle everything in between.

1

You Send the Inspection Request

Send us your property address and tenant contact — one at a time or in bulk via your PM software. We work directly with Propertyware, AppFolio, Yardi, Buildium, Rent Manager, Rentvine, TenantCloud, and LeadSimple.

2

We Handle All Tenant Communication and Scheduling

We contact your tenant directly, explain the process, and schedule at a time that works for them — including evenings and weekends. We send email, text, and phone reminders. No-shows are rare. When they happen, our lease addendum framework means the tenant has already agreed to cooperate and accepted the financial consequences of refusal.

3

A Trained Inspector Conducts the Live Video Walkthrough

Your tenant joins a live video call using only their cell phone — no app download, no login, no password. They receive a unique 7-digit PIN to connect. Our inspector guides them through every area, directing the camera, asking follow-up questions, and capturing high-resolution photos in real time. Your tenant does not control what gets documented.

4

You Receive a Branded, Professional Report

Your completed inspection report is delivered to your inbox — or uploaded to your shared drive — typically within one business day. White-labeled with your branding, photos organized by room, inspector notes on items of concern, and a clear condition summary. Ready to share with owner clients as-is.

The Problem

The Three Ways Most Firms Handle Inspections — and Why None of Them Work

Most property management firms are using one of three approaches for periodic inspections. Every one of them creates liability, wastes staff time, or produces documentation that fails exactly when you need it most.

01
Approach #1

In-House Staff Inspections

Your property manager drives to the property, spends 45–90 minutes on site, and writes up notes back at the office. At scale, this consumes dozens of hours per month in windshield time alone — hours pulled directly from business development, owner communication, and work that actually moves the needle.

Hidden cost: 20–40 staff hours/month at scale
02
Approach #2

Tenant Self-Inspections

The tenant fills out a form and submits photos they chose to take. Critical issues get missed. Damage gets hidden. The documentation produced is rarely defensible in a deposit dispute — because you had zero control over what was shown, what was framed out, or what was recorded.

Hidden cost: Indefensible documentation when disputes arise
03
Approach #3

Deferred Inspections

Many firms simply fall behind. Inspections that should happen quarterly get pushed to annually or skipped entirely — resulting in deferred maintenance, compounding lease violations, and move-out damage surprises that cost far more than the inspections would have.

Hidden cost: $2,000–$8,000+ per deferred damage event
The Alternative

Resident Inspect replaces all three — with a done-for-you system that produces defensible documentation every time.

Live inspector-led walkthroughs. Tenant scheduling handled. White-labeled reports in your inbox within one business day.

Built For

Who This Is Built For

Resident Inspect is designed for property management firms and landlords managing 100 or more doors — where inspection volume is high enough that an unscalable process has real operational and financial consequences.

Property Management Companies

Running 100–2,000+ unit portfolios who need a reliable, repeatable inspection program that does not depend on staff bandwidth.

Single-Family Rental Operators

With properties spread across a region or multiple states where in-person inspections require significant travel time and cost.

Owners and Investors

Who want professional periodic inspections without hiring or managing an internal inspection team or scheduling process.

Firms Transitioning From Self-Reports

Who need documentation that will hold up for owner reporting and deposit disputes — not photos the tenant decided to take.

If your current inspection process relies on your staff having time, being in the right place, and tenants cooperating — it is not a system. It is a hope.

The Deliverable

The Documentation That Protects You

A periodic inspection is only as valuable as the report it produces. Resident Inspect reports are built to be legally defensible, owner-ready, and operationally useful — not just a PDF of photos.

Sample reports are available on request.

High-Resolution Photos

Organized by room and area — captured by our inspector, not selected by your tenant.

Inspector Notes

Condition, concerns, and recommended follow-up for each documented item — ranked by urgency.

Smoke & CO Confirmation

Tested and logged — not just noted as present. A critical liability item on every inspection.

Lease Compliance Flags

Unauthorized occupants, pets, and modifications documented with specificity — not general notes.

White-Label Branding

Your company name, logo, and contact information on every page. No Resident Inspect branding visible.

Digital Delivery

Email or shared drive — typically within one business day of inspection completion.

FAQs

Frequently Asked Questions

How much notice do tenants receive before a Resident Inspect inspection?

+

We handle all tenant communication. The notice process follows your state’s legal requirements — typically 24–48 hours written notice. We send the formal notice, manage responses, and handle rescheduling if needed.

What if a tenant refuses or is unresponsive?

+

This is rare in our experience. We recommend all clients use our free Periodic Inspection Lease Addendum, which requires tenants to cooperate and accept a fee covering the cost of an in-person inspection if they refuse. When tenants know refusal has a financial consequence and the process has been normalized in the lease, participation rates are high.

Does the tenant need to download an app?

+

No. Tenants need only a cell phone with a camera and cell reception. There is no app download, no login, and no password. They receive a unique 7-digit PIN to join the live call.

How long does a typical periodic inspection take?

+

Most single-family home inspections run 25–40 minutes. Multi-family units typically run 15–25 minutes. Inspection duration depends on property size and any items requiring additional documentation.

What states do you cover?

+

All 50 states. Because inspections are conducted via live video, geography is not a constraint. We serve local rentals, multi-state portfolios, and long-term investment properties anywhere in the US.

How quickly do we receive the completed report?

+

Most reports are delivered within one business day of the completed inspection — via email or uploaded directly to your shared drive.

Is Resident Inspect a software tool or a service?

+

Both. Resident Inspect combines trained inspection professionals with proprietary inspection software. You are not buying a platform and doing the work yourself — you are getting a fully managed inspection service delivered via technology.
